Upgrade vs. adding extra seats

If you only need a few more seats, you may not need to upgrade your plan at all — you can purchase additional seats directly on your current plan (available on Pro and Business). Upgrading your plan makes more sense when you also want access to higher-tier features, or when you need more seats than your current plan's maximum allows.

How to Upgrade Your Plan

Only the account Owner can upgrade the plan. Admins can view billing details but cannot make plan changes.

Go to Account Settings

Click your account name in the top-right corner of any page and select Account Settings from the dropdown menu.

Open the Plan & Billing tab

Select Plan & Billing from the left-hand settings menu. Your current plan, renewal date, and seat usage are shown at the top of this page.

Click "Change Plan"

Under your current plan summary, click the Change Plan button to open the plan selector.

Select your new plan

Choose the plan you want to upgrade to. You will see a breakdown of what is included and the price difference compared to your current plan. Select your preferred billing frequency — monthly or annual (annual saves up to 20%).

Review the prorated cost and confirm

QuickEstimate calculates a prorated charge for the remainder of your current billing cycle — you only pay the difference, not the full new plan price upfront. Review the cost summary and click Confirm Upgrade to complete the change.

Start inviting new team members

Your new seat allowance is available immediately after upgrading. Head to Account Settings → Team to invite new members right away.

If you are upgrading from a monthly plan to an annual plan at the same time, the prorated calculation takes into account the days remaining in your current monthly cycle before switching you to the annual billing schedule.

What Happens to Your Data and Settings

Upgrading your plan is seamless — nothing is lost or reset during the process:

Upgrading to a higher plan unlocks new features immediately, but if you later downgrade, any data that relies on higher-tier features — such as advanced reporting or custom approval workflows — may become read-only or restricted. It is worth reviewing what each plan includes before switching.

Upgrading to Enterprise

If your team exceeds 50 members or you have specific requirements around custom onboarding, invoicing, SSO, or dedicated account management, the Enterprise plan is designed for you. Enterprise plans are not self-serve — they are tailored to your organisation's size and needs.


Frequently Asked Questions

Will my team be interrupted when I upgrade?
No. Upgrades take effect instantly and your team continues working without any interruption. There is no downtime, re-login required, or disruption to any work in progress.
How is the prorated charge calculated?
QuickEstimate calculates the number of days remaining in your current billing cycle and charges you the difference between your old and new plan price for those days only. For example, if you are halfway through a monthly cycle and upgrading from Pro to Business, you will be charged approximately half the monthly price difference. The full new plan price applies from your next renewal date.
Can I upgrade mid-cycle, or do I need to wait until renewal?
You can upgrade at any time — there is no need to wait until your renewal date. The prorated billing system means you are only charged for the time you spend on the new plan within your current cycle.
What payment methods are accepted for upgrades?
QuickEstimate accepts all major credit and debit cards (Visa, Mastercard, American Express). Enterprise customers can also arrange payment by invoice. Payment details are managed securely via Stripe — QuickEstimate does not store your card information directly.
Can I switch from monthly to annual billing when I upgrade?
Yes. When you select your new plan during the upgrade flow, you can choose either monthly or annual billing. Switching to annual billing at the same time as upgrading is a great way to save — annual plans are up to 20% cheaper than paying monthly.
What if I need to downgrade later?
You can downgrade your plan at any time from Account Settings → Plan & Billing → Change Plan. Downgrades take effect at the end of your current billing cycle — you keep access to your current plan until then. If a downgrade would reduce your seat count below the number of active team members, you will be prompted to remove members first.
