Guest Access lets you share a secure, read-only link with a client or external stakeholder — no QuickEstimate account or login required. Your client can view the project data you choose to share, while everything else in your account stays completely private.

Guest Access vs. Team Sharing

Guest Access is for people outside your business — clients, subcontractors, or external reviewers. If you want to share an estimate with a colleague who is already on your account, use Sharing Estimates with Team Members instead.

How to Create a Guest Access Link

Follow these steps to generate a secure link you can send directly to your client:

Open the project or estimate

Navigate to the project or estimate you want to share with your client and open it.

Click Share, then Guest Access

Click the Share button in the top-right corner, then select the Guest Access tab in the sharing panel that opens.

Choose what your client can see

Select which sections to include in the guest view — for example, you can show line item descriptions but hide unit costs and margins. See the options breakdown below.

Set a link expiry (optional)

Choose how long the link stays active — 7 days, 30 days, 90 days, or no expiry. After expiry, the link stops working automatically and the client sees a polite message.

Generate and copy the link

Click Generate Link. Copy the link and send it to your client directly via email, WhatsApp, or however you communicate with them.

You can also click Send via Email instead of copying the link — QuickEstimate will open a pre-filled email with your branding and the guest link already included, ready for you to personalise and send.

What Clients Can and Cannot Do

Guest Access is always view-only. Clients can never edit, download source files, or access any other part of your account.

Guest links are not password-protected by default. Anyone with the link can view the shared content. If you are sharing sensitive pricing, we recommend setting a short expiry window and only sending the link through a trusted channel.

Controlling What Clients Can See

When creating a Guest Access link, you can toggle the following visibility options to control exactly what your client sees:

Enabling the Approval Response option is a great way to get a quick sign-off from your client. When they click Approve, you receive an instant email notification and the approval is logged against the project in your Team Activity Log.

Managing and Revoking Guest Links

You can view and manage all active guest links for a project at any time:

Open the Share panel

Go to the project or estimate and click Share, then select the Guest Access tab.

View active links

All currently active guest links are listed here, showing when they were created, their expiry date, and how many times they have been viewed.

Revoke a link

Click Revoke next to any link to deactivate it immediately. Anyone who clicks the old link will see a message that access is no longer available.


Frequently Asked Questions

Does my client need to create a QuickEstimate account?
No. Guest links work in any web browser with no login required. Your client simply clicks the link and views the shared project instantly.
Can I share multiple projects with the same client?
Yes — you can generate a separate guest link for each project or estimate. Each link is independent, with its own visibility settings and expiry date.
Will I know if my client has viewed the link?
Yes. QuickEstimate tracks when a guest link is opened and logs each view with a timestamp. You can see this in the Guest Access tab of the Share panel, and optionally receive an email notification the first time your client views it.
What happens when a guest link expires?
The link stops working automatically on the expiry date. Anyone who clicks it will see a message saying the link has expired. You can generate a new link at any time from the Guest Access tab if you need to extend access.
Can a client edit or approve changes through Guest Access?
Clients can never edit project data. However, if you enable the Approval Response option when creating the link, they can submit a simple approve or request changes response. This does not modify any data — it simply sends you a notification and logs the response.
