Instead of giving every team member full account access, QuickEstimate lets you share individual estimates with specific colleagues. You control exactly who can see or edit each estimate — keeping sensitive pricing private where it needs to be.

Who can share estimates?

Owners and Admins can share any estimate. Estimators can share estimates they own. Viewers cannot share estimates. See Team Roles & Permissions for a full breakdown.

How to Share an Estimate

Follow these steps to give a team member access to a specific estimate:

Open the estimate

From your dashboard, click on the estimate you want to share to open it.

Click the Share button

In the top-right corner of the estimate, click the Share button (or the people icon). This opens the sharing panel.

Search for a team member

Type the name or email address of the colleague you want to add. Only existing team members on your account will appear.

Set their access level

Choose whether this person can View only or View & Edit the estimate. See the permissions table below for details on what each level allows.

Save and notify

Click Share to confirm. The team member will receive an email notification with a direct link to the estimate.

Access Levels Explained

When sharing an estimate, you can choose one of two access levels:

Permission View Only View & Edit
View estimate details and line items
Download or print the estimate
Leave comments on the estimate
Edit line items, quantities, and pricing
Add or remove sections
Convert estimate to a proposal
Share the estimate with others
Delete the estimate
⚠️ Note

Only the estimate owner, Admins, and Owners can delete an estimate or re-share it with additional team members. A colleague with View & Edit access cannot invite others to the same estimate.

Managing Who Has Access

You can review and update who has access to an estimate at any time:

Removing a team member's access to an estimate does not delete any edits they made. All changes are preserved in the estimate history — you can review them in the Team Activity Log.

Sharing Multiple Estimates at Once

Need to give someone access to several estimates quickly? Use the bulk share option from your estimates list:

Go to your Estimates list

From the main navigation, click Estimates to see all your estimates.

Select multiple estimates

Tick the checkbox next to each estimate you want to share. You can select up to 20 at once.

Choose Share from the bulk actions menu

Click Actions in the toolbar that appears, then select Share. Add your team member and set their access level — it will apply to all selected estimates.


Frequently Asked Questions

Will the team member see my other estimates?
No. Sharing an estimate only gives access to that specific estimate. They will not see any other estimates, projects, clients, or account settings unless you share them individually or grant them a broader account role.
Can I share an estimate with someone outside my team?
Estimate sharing is limited to existing team members on your QuickEstimate account. To give a client or external stakeholder view access, use Guest Access instead, which generates a secure link without requiring a login.
Will I be notified when a shared team member makes changes?
Yes, if you have estimate activity notifications enabled. You can configure these in Team Notification Settings. You can choose to be notified by email, in-app alert, or both.
What happens to shared access if I deactivate a team member?
Their access is automatically revoked across all estimates the moment they are deactivated. All their previous edits and activity are retained and visible in the estimate history.
Is there a limit to how many people I can share an estimate with?
You can share an estimate with up to 10 team members simultaneously. If you need broader access, consider adjusting the team member's account-level role instead — see Team Roles & Permissions.
