Comments let your team leave feedback, flag questions, and discuss changes directly on an estimate — no need to switch to email or a separate messaging tool. Every comment is timestamped, attributed to the right team member, and stays attached to the estimate permanently.

Who can leave comments?

Any team member with access to an estimate — including those with View Only access — can leave comments. Owners and Admins can comment on any estimate. See Team Roles & Permissions for the full breakdown.

How to Leave a Comment

You can leave a general comment on the whole estimate, or pin a comment to a specific line item.

General comment on the estimate

Open the estimate

Navigate to the estimate you want to comment on and open it.

Click the Comments tab

In the right-hand panel, click the Comments tab (speech bubble icon) to open the comment thread for this estimate.

Type your comment

Click in the text box at the bottom of the panel and type your message. You can mention a team member by typing @ followed by their name to notify them directly.

Post the comment

Press Enter or click the send button. Your comment appears instantly and any mentioned team members are notified by email and in-app.

Pinned comment on a specific line item

Hover over the line item

Move your cursor over the line item you want to comment on. A small comment icon will appear to the left of the row.

Click the comment icon

Click the speech bubble icon that appears. A comment box will open anchored directly to that line item.

Write and post your comment

Type your message, use @mentions if needed, then press Enter or click send. The comment is pinned to that line item and visible in both the line item view and the Comments tab.

💡 Tip

Pinned line item comments are great for flagging specific pricing queries or scope questions — for example, "Check this labour rate — it might need updating for the new project location." They stay anchored even if other line items are reordered.

Replying to and Resolving Comments

Comments support threaded replies so conversations stay organised and easy to follow.

⚠️ Note

Deleting a comment permanently removes it from the estimate, including any replies in its thread. If you just want to close the conversation, use Resolve instead so the history is preserved.

Frequently Asked Questions

Can clients see comments on an estimate?
No. Comments are internal only and are never visible through Guest Access links or any client-facing view. You can discuss pricing, margins, and strategy freely without worrying about client visibility.
Is there a limit to how many comments I can add?
There is no limit on the number of comments or replies per estimate. Comment threads can be as long as needed and are all stored permanently against the estimate.
Can I edit a comment after posting it?
Yes. Click the three-dot menu on your own comment and select Edit. An edited label will appear on the comment so other team members can see it was updated. Only the original author can edit their own comments.
Are comments included in the Team Activity Log?
Yes. Every comment, reply, resolve, and deletion is recorded in the Team Activity Log with a timestamp and the name of the team member who performed the action.
What happens to comments if a team member is deactivated?
Their comments remain fully visible on the estimate — nothing is deleted when a team member is deactivated. The comments are simply attributed to their name with a deactivated label so the history stays accurate.
