QuickEstimate sends notifications when important things happen across your team — a comment is left, an estimate is assigned, a proposal is approved, and more. Each team member controls their own notification preferences independently, so everyone can set things up to suit the way they work.
Two types of notification settings
Personal settings — each team member manages their own preferences from their profile. Account-wide defaults — Owners and Admins can set the default notification preferences applied to all new team members when they join.
How to Update Your Own Notification Preferences
Every team member can adjust their own notification settings at any time — no admin access required.
Click your name or avatar in the top-right corner of any page, then select Profile & Settings from the dropdown.
Inside your profile settings, click the Notifications tab to see all available notification events.
For each notification event, you can toggle Email, In-app, both, or neither. Changes take effect immediately — no need to save.
If you find yourself receiving too many notifications, start by turning off email for lower-priority events like comment replies, and keep email on only for high-priority ones like estimate assignments and proposal approvals.
All Notification Events
Below is a full list of team notification events and their default delivery method when a new team member joins:
| Event | Default delivery | Who receives it |
|---|---|---|
| Estimate assigned to you | EmailIn-app | The assigned team member |
| Estimate shared with you | EmailIn-app | The team member granted access |
| Comment left on your estimate | EmailIn-app | The estimate owner |
| You are @mentioned in a comment | EmailIn-app | The mentioned team member |
| Reply added to a comment thread you are in | In-app | All participants in the thread |
| Proposal sent to a client | In-app | Owners and Admins |
| Client opens a proposal | EmailIn-app | The proposal sender |
| Client approves a proposal | EmailIn-app | The proposal sender + Owners |
| Client requests changes on a proposal | EmailIn-app | The proposal sender + Owners |
| Guest link viewed by a client | In-app | The team member who created the link |
| Team member joins the account | In-app | Owners and Admins |
| Team member role changed | The affected team member |
Some notifications — such as being @mentioned in a comment or having your own role changed — cannot be fully disabled. At minimum, you will always receive an in-app notification for these events to ensure no critical information is missed.
Setting Account-Wide Notification Defaults
Owners and Admins can set the default notification preferences that apply automatically to every new team member who joins the account. This saves time and ensures consistency — especially useful for larger teams.
Click your account name in the top-right corner and select Account Settings from the dropdown menu.
Select Team & Notifications from the left-hand settings menu.
Toggle email and in-app on or off for each notification event. These become the defaults for any new team member added going forward.
Click Save Defaults to apply. Existing team members are not affected — they keep their current personal preferences unless they choose to reset to defaults themselves.
Existing team members can reset to the current account defaults at any time by going to their Profile & Settings → Notifications and clicking Reset to account defaults at the bottom of the page.
Pausing All Notifications
If you need a period of focus or are going on leave, you can pause all notifications temporarily without changing your individual settings.
- Go to Profile & Settings → Notifications and toggle Pause all notifications at the top of the page.
- Choose a duration — 1 hour, 4 hours, until tomorrow, or a custom date — or leave it on indefinitely until you turn it back off.
- While paused, no emails or in-app alerts are sent. Any events that occur during the pause are not retroactively delivered when you resume.
- Your individual notification preferences are preserved exactly as they were — pausing does not reset them.
Even when notifications are paused, all activity on your estimates is still recorded in the Team Activity Log. You can review everything that happened while you were away by checking the log when you return.
