    Approval Guide

    How Client Approval Works

What your client sees when they open a proposal, how they approve or reject it, and what happens afterwards.

    From Proposal to Signed Approval

Your client approves a proposal online. There is nothing to print, scan or post back.

They open the proposal from your email or link, choose Approve or Reject, and if they approve, they sign on screen. You see the result in QuickEstimate straight away.

    The Approval Journey

    1

    Your client opens the proposal

The link in your email (or one you shared with Copy Link) opens the proposal in their browser. No account or password is needed.

    • They see your logo, the scope of work, materials, equipment, subcontractors, your warranty, licence and terms.
    • A banner shows how many days are left before the proposal expires.
    • The first time they open it, the status changes from Sent to Viewed.
    2

    They choose Approve or Reject

Approve and Reject buttons sit at the bottom of the proposal. If you offered more than one package, each package has its own buttons.

    3

They fill in the approval form

Approve opens a signature window with:

    • Signatory Information: Full Name (required), Title / Role, Email, Approval Date (required) and PO / Reference Number.
    • Signature: draw it, type it, or upload an image of it.
    • A box confirming the signature is valid and that they are authorised to approve, then Confirm Approval.
    4

    The proposal is locked

Once approved, the status becomes Accepted and the price is locked. Neither you nor the client can change a signed proposal.

To change an accepted job, use Duplicate Proposal from the Estimates list and send the copy as a new proposal.

    5

    You are notified

An alert appears on your Dashboard when a client approves. Accepted proposals can be turned into invoices.

    If the Client Rejects

Reject takes one click and marks the proposal Rejected. Your client can't approve it after that. From the Estimates list you can open the three-dot menu and choose Record Reason Lost to note why, or Renew as Revision to send an updated version.

    If the Proposal Has Expired

After the valid-until date, the client sees "This Proposal Has Expired" with the expiry date and is asked to contact you. They can't approve an expired proposal. You can extend or renew it from the Estimates list.

    Frequently Asked Questions

Does my client need a QuickEstimate account?

No. The link opens the proposal directly in any browser, on a phone or a computer.

Can I approve a proposal on the client's behalf?

Yes. Open the proposal and click Accept Now. It uses the same signatory and signature form, for example when a client signs in person.

Can the client change the proposal?

No. Clients can approve or reject. If they want changes, edit the estimate and send it again.

Do I get an email when a client approves?

Not at the moment. Approvals show as an alert on your Dashboard and in the proposal's status.

    Ready for Signed Approvals?

Send a proposal your clients can approve in a few clicks.
